Information we may collect
Depending on how you interact with us, we may collect:
- Name, email address, and telephone or WhatsApp number.
- Date of birth, country, and address.
- Citizenship ID or passport number, where this is needed to keep accurate learner and certificate records.
- Your course selection, optional services, and enrolment information.
- Enquiry, contact, and chat information you send through the website.
- Eligibility-assessment information, including short WhatsApp voice messages used by authorised trainers to assess spoken English for course eligibility.
- Learner account information, course access, level progress, submitted tasks, tutor feedback, and internal learner messages.
- Certificate, transcript, approval/confirmation, and BEBVERIS verification information.
- Payment status and transaction information provided to us by Stripe. We do not store your full payment-card details.
- Limited technical and cookie data, to the extent described in our Cookie Policy.
How we use your information
We use your personal information to:
- Respond to your enquiries and assess course eligibility.
- Take steps you ask us to take before enrolment, and administer your enrolment.
- Create your learner account, provide staged course access, assign tutor support, mark tasks, and communicate with you.
- Issue course documents and support certificate verification.
- Administer payments, prevent fraud, maintain security, keep records, and resolve disputes.
- Meet our legal and accounting obligations.
- Send optional direct marketing only where you have made a separate, appropriate choice to receive it.
Our lawful bases
Depending on the situation, we process your personal information because:
- it is necessary to take steps at your request before entering a contract, and to perform our contract with you;
- it is in our legitimate interests to operate securely, prevent fraud, and administer our services fairly, balanced against your rights and interests;
- we need to meet a legal obligation; or
- you have given consent, where consent is required, such as for optional marketing or optional cookies.
Where your information comes from, and who we share it with
We may receive your information from website forms and chat, WhatsApp, phone, email, Google Forms, Stripe, and the learner platform.
We share information with authorised BEB / TESOL Pro personnel and tutors, and with service providers that help us operate the service, including:
- Google Forms and related Google services;
- WhatsApp;
- Stripe, for payment processing;
- our hosting and database service providers;
- certificate-verification systems, where applicable.
International transfers
Some of these providers may process information outside the United Kingdom. Where that happens, we use appropriate safeguards where they are required.
Voice messages for eligibility
As part of eligibility assessment, we may ask you to send a short spoken-English voice message by WhatsApp. These voice messages are used only to assess spoken English for course eligibility and for related enrolment communication.
Voice messages may be reviewed by authorised trainers. Please avoid including unnecessary sensitive personal information in your voice message.
How long we keep your information
We keep personal information only as long as we need it. We may keep records for longer where this is needed for a legal claim, a dispute, fraud prevention, or to meet a legal obligation. Our usual retention periods are:
- Unsuccessful or ineligible applicants and general enquiries: 12 months after the last meaningful interaction.
- WhatsApp voice-note eligibility assessments: 6 months after the eligibility decision.
- Google Form raw responses: transferred or checked into the learner-record system, then deleted or stripped of identifiable raw responses within 90 days where practical.
- Passport / citizenship ID number, date of birth, and address: 6 years after course completion, access expiry, or the last relevant transaction.
- Learner records, course progress, tutor feedback, submitted work, and learner messages: 6 years after course completion or access expiry.
- Financial and payment records: usually 6 years, subject to accounting and tax requirements.
- BEBVERIS limited verification record: 10 years from the completion date. This record is limited to full name, certificate number, completion date, and course type.
- Marketing consent: until you withdraw it, with minimal opt-out / suppression evidence kept where needed.
Your rights
Depending on the circumstances, you have the right to:
- access the personal information we hold about you;
- ask us to correct inaccurate information;
- ask us to erase information, where applicable;
- ask us to restrict processing;
- object to processing;
- request portability of certain information, where applicable;
- withdraw consent, where we rely on consent;
- complain to a data protection regulator.
